When an IT Director Is Wearing Too Many Hats

A Midwest School District Unlocks More Value From Google Workspace


In K-12 environments, IT leaders are rarely just “IT.” They’re balancing security, instruction, recess duty, support, and day-to-day operations. That was the case for a Midwest school district we partnered with. They had Google Workspace in place, but like many districts, they suspected there was more value available than they had the time to uncover.

The Problem: IT Leader Stretched Too Thin

The district’s IT Director was stretched thin, resulting in:

  • New Google Workspace features rolled out, but many not yet explored

  • Inconsistently aligned student privacy and staff security settings

  • No configured security awareness training despite already being purchased

The Process: We Start by Listening

We started by listening. We met in person to understand how Google Workspace was used across:

  • Students vs. staff

  • Administrative workflows

  • Privacy and security processes tied to student data

From there, we focused on practical, high-impact changes rather than theoretical best practices.

Our Solution: Utilize Existing Capabilities

Our key improvements included utilizing many capabilities already in existence but that simply hadn’t been fully configured or implemented.

  • Introduced shared inboxes and role-based access for part-time secretarial staff to ensure consistent, secure communication

  • Drafted a district-wide MFA rollout plan for all staff accounts

  • Provided 20+ tailored Google Workspace configuration recommendations

  • Updated Drive settings to reduce accidental sharing of documents and files

  • Required admin approval for third-party apps requesting access to staff data

  • Configured year-long security awareness training, aligned with cyber insurance requirements
